What kinds of exams do Exambiz invigilate?

Exambiz only invigilate written exams.  We are unable to invigilate oral language or computer-based exams.  

Can I sit computer based exams?

No.  We are unable to invigilate computer-based exams. 

Can I sit language exams?

No.  We are unable to invigilate oral language exams, but we can invigilate written language exams that only require pen and paper.  

How much does exam invigilation cost?

We have a flexible pricing structure with very competitive invigilation rates.  See the rates at the bottom of the home page of this site.  The rates are also displayed for each unit when you make a booking.  A higher rate than shown on our invigilation rates table may be charged for accepted one-one-one exam invigilation.  If postage is required, an additional fee will be added to the rate.

Can I book and pay for several exams at one time?

Yes, certainly.  When you are selecting exams to book, you can simply add more exams to the one booking.  Then you can pay for them all at once.  This may help you to ensure your exams are all booked in time and that you won't forget to book later.  It also enables you to have all exams shown on the one booking, which you can then bring to each exam. 

Can I get discount for several exams?

There is no discount scheme for multiple exams. 

How do I book and pay for an exam?

First, you should read the information under 'Booking and Payment' at the bottom of the home page.  Then you need to go through a few steps.  If you have never used the system before, you must register your details with us.  The email address you nominate is very important because all system information is sent to that address.  (Make sure you select an email address that can receive all emails as sometimes filters are used to prevent certain emails).  Once you have registered, an email is sent.  You must click on the link in that email to activate your acount.  This will take you directly to the exam unit booking page. 

You then select the exams(s) you wish to book from the list available.  You can select as many units in one booking as you wish, provided that no dates clash.  If an exam shows in red, it is too late to book with us.  This is because the exam date is less than 10 calendar days away.  The easiest way to pay is by using credit card, but you can also complete the booking on-line and elect to pay using a cheque or money order.  

Please note that a cheque or money order MUST BE MADE PAYABLE TO EXAMBIZ PTY LTD  (You MUST include PTY LTD).

Your booking request becomes a 'pending booking'.  (see 'what is a pending booking . . .' below).   You then send us the booking request with a money order or cheque.  We match this payment with your pending booking in the system and update the system.  This generates an email to you confirming your booking.  The invigilation rates are shown on the home page and are also displayed for each unit. 

Which ID number do I use in the exam booking process?

The system requests an OUA ID when you first register your details (Ignore if not applicable).  When you book an exam, the system will ask for the University ID number pertaining to the particular unit. (For example, if you are booking an RMIT exam, you would use your RMIT Student ID number).  Thhis enables a University to match your details for the exam with its own records.

How do I change my details if something is incorrect?

Log in first.  Then click on 'change details' at the very bottom of the screen. 

Is your site safe for paying by credit?

We use a secure site when you pay by credit card. 

I paid using credit card but it still says 'pending'

This is most likely due to an incomplete payment.  Once payment has been processed by the payment gateway (which links to your bank), you should receive an email with the transaction details.  You also receive an email which is a confirmation of booking.  if you check your booking, you'll find the status has been changed to 'confirmed'.  (This is when the University is advised of your exam).

What is a pending booking ( booking request) and what do I do about it?

This is an incomplete booking.  If you have not paid with a credit card at the time of booking, the system sends an email to the address you nominated on your registration form.  If you still wish to pay using a credit card, you need to log into the system, click on 'Check my bookings', click on 'Pending', then click on the booking invoice number.  This will open your booking.  You can then complete your credit card payment.  If you wish to pay by money order or cheque, you need to retrieve the booking request email sent to you after booking.  Send this with correct payment to the address shown on it.  Don't forget that we MUST RECEIVE this payment no later than 10 calendar days prior to the exam.  We will then match your payment with your booking request and confirm it.  You will receive a confirmation email which is your tax invoice.  If your payment arrives after the 10 day cut-off, YOU ARE TOO LATE!   We will return it to you unprocessed, the system will cancel your pending booking, and the University will be unaware that you wish to sit an exam with us.  Note: Universities have no knowledge of pending  bookings as our system does not advise them of these.  Therefore, they will not send us an exam paper.

What if my log in is blocked or a message says 'Contact the Administrator'?

This is probably because you have not activated your account.  You do this by viewing the email that was sent to the email address you nominated when you registered.  Click on the link.  This will activate your account and take you straight to the exam bookings page.

What if I don't get an email after I register or after I book?

Check the junkmail or spam folder as some browsers prevent emails from unknown sources.

Why is there a strict 10 day deadline for booking?

The deadline has been agreed with the universities and is necessary to ensure all exam arrangements are finalised and the univerisites are able to send the exam paper in time.   You should have booked your exams by the University deadline.  Our system already allows a buffer after their deadline.

Can I submit a late booking?

No.  Once the exam is closed, the system will prevent a booking being made.  This occurs within 10 days of an exam.  Note: There is no further way to book with us if you are late.  You may need to contact your university.

What if I don't book, but just turn up for an exam?

If you are not booked with Exambiz, there will not be an exam paper for you.  Your name will not appear on the invigilator's list and you will not be given access to the exam room.

What time are the exams?

All exam invigilation is conducted at 6.00 pm at each location.  You cannot request a different time.  If you have a specific reason for needing an exam at another time, you should arrange an alternative invigilator for this exam. 

What if I am late?

Students will not be admitted into an exam room more than 30 minutes after exam commencement.  You will not be given any extra exam time if you are late.

Where are the exams held?

Exambiz invigilates exams in Melbourne (1 venue) and Sydney (1 venue).  See venue information for full details.  

How do I know if you have my exam paper?

You can check whether the exam paper has arrived from the University and is ready for your exam.  Just log on, go to 'check my booking', click on 'confirmed'.  A tick against the exam indicates that the paper has been received from the University,  A cross or blank field indicates that it may not yet have arrived.

How do I get to the exam?

Are there toilet facilities?

Yes.  All venue locations have toilet facilities. 

What do I have to bring to the exam?

You need to bring your email booking confirmation/tax invoice (not booking request), your instituion ID card (if you have one), and a form of photo Identification (only driver’s licence or passport).  You also need to bring anything you will need for your exam, such as pens, pencils, eraser, ruler, calculator and materials that have been approved by your university for use in the exam.  Note: some universities have very strict rules about what is acceptable and what indexing systems you may use in texts.  Exambiz rigidly enforces university rulings and must report any breach to the university. 

What if I misplace my tax invoice?

You can log in to the Exambiz system and go to 'check my bookings' to request another invoice by email. 

What if I forget to bring the tax invoice or suitable ID to the exam?

If you do not have your tax invoice with you, this will delay your entry into the exam room.  Please advise the invigilators as soon as you arrive if this is the case.  Provided you have booked with us using the on-line system and can show some alternative form of photo identification, you will still be able to sit the exam.  If you cannot provide suitable photo ID, we are required to advise your university. 

What if I forget to bring my calculator?

If you forget a calculator, there is nothing we can do to help.  Exambiz do not supply any materials.  You can not use a mobile phone or other data/communications devices.  You may not borrow from, or share materials with, other candidates. 

Can I use a mobile phone as a calculator?

No.  Mobile phones or other data/communications devices are not permitted to be used under any circumstances.  

What if I don’t turn up for a booked exam?

You forfeit your exam fee.  Note that not showing up for a mid exam may affect your final exam booking with us and the specific exam you may need to sit with the University.  See 'Failing to show for an exam' on the page 'At the Exam'.

What if I want to cancel or defer an exam?

You can cancel an exam booking by clicking on the cancellation/ refunds button.  You should also advise your university.  You cannot defer an exam with us.

Can I get a refund?

Provided you have cancelled your exam booking with us yourself, online, at least 48 hours prior to the exam, you can apply for a refund of your exam payment (less $20 administration fee per exam).  If you have paid using credit card, we will refund the balance of your fee to the credit card you used for your booking.  If you paid by money order or cheque, a small information box opens and asks you for your account name, account number and BSB.  This is submitted direct to us and we will process the refund balance shortly after receipt of your request.  These refunds are transferred electronically to your nominated savings account.  See the Cancellations/Refunds policy or Terms and Conditions for further details.
